For one of our clients, a Geneva-based non-profit organization active in project coordination and institutional relations, we are looking for:
an Operations & Finance Assistant (M/F/X)
This key position combines administrative, financial, logistical, and relational responsibilities. It offers a dynamic environment and requires excellent organizational skills, precision, discretion, and a strong service-oriented mindset.
Main Responsibilities
Administrative Management & Internal Organization
•
Ensure smooth day-to-day office operations and manage relationships with service providers
•
Organize internal meetings, travel arrangements, and communication materials
•
Handle routine administrative tasks and filing.
Logistics Coordination
•
Prepare for the reception of partners and external stakeholders
•
Organize visit schedules, accommodation, and travel arrangements
•
Produce the necessary documents and logistical materials.
Financial Support
•
Record transactions in tracking tools (donations, grants, expenses)
•
Contribute to budget planning and project financial monitoring
•
Manage expense claims, payments, and liaise with the fiduciary.
Database Management & Communication
•
Maintain an up-to-date contact database (partners, supporters, stakeholders).
•
Produce reports and key indicators
•
Assist with drafting periodic communications (newsletters, updates).
Event Organization
•
Contribute to the planning and coordination of events (meetings, conferences, campaigns)
•
Manage invitations, registrations, venues, materials, and logistical follow-up
•
Prepare supporting documents before and after events.
Your Profile
•
Higher education in administration, management, or a related field
•
Proven experience in a similar role, ideally within a non-profit, institutional or cultural environment
•
Proficiency in office and management tools (Microsoft Office, CRM, digital platforms)
•
Excellent written communication skills in both French and English
•
Strong organizational abilities, prioritization skills, and attention to detail.
•
Discretion, autonomy, and strong interpersonal skills.
