client emergenciesKeep day-to-day operations smooth and efficientPrepare offers and review proposals for qualityApprove smaller payments and keep internal processes cleanPrepare and coordinate audits and non-standard queries (e.g. tax, social security, etc.)People & TeamHandle team requests (special cases, perks, questions)Support small recruitment decisionsHelp maintain a positive team environmentOrganising anniversaries, gifts and personal celebrationsHyping the team, spreading our culture on every possible occasionClient Enquiries & OnboardingMonitor incoming enquiriesFollow up on new leads, ensure they are assigned to the right person internally and actioned immediatelySupport and coordinate the client onboarding journeyEnsure every new client starts with clarity and focus, priorities, clarityYour Responsibilities (Executive Support)Founder Support & Priority ManagementManage, prioritise, and protect the Founder’s calendarProactively block focus time and remove low-value commitmentsPrepare the Founder for key meetingsFollow up on action items with internal and external teamCoordinate travel, events, and logisticsKeep an overview of all active initiatives and ensure nothing slipsInternal & External CommunicationDraft and send emails, Slack & Linear messages on behalf of the FounderHandle inbound requests and filter out noiseMaintain relationship “touch points” with team and clientsPrepare meeting summaries and ensure follow-up happensDecision SupportPre-read documents and synthesise key pointsFlag risks, issues, and decisions that need attentionDo quick research or analysis for the Founder when neededDocument & Information ManagementOrganise documents, contracts, and key company informationMaintain shared folders, templates, and knowledge
