Job Title: Finance and Travel Services Officer - LE3 - DFAT - Geneva
Location: Geneva
Salary: CHF 84,188 per annum
Contract type: Permanent-Ongoing
Contract hours: Full-time, 37.5 hours per week
Additional Benefits: 20 days annual leave, 50% employer contribution to health insurance and accident insurance, and to a pension fund.

The successful applicant will be engaged as a locally engaged staff member by the Australian Consulate-General, Geneva.
The Fair Work Act 2009 is not intended to apply to the employment of Locally Engaged Staff (LES) at Australia’s overseas diplomatic and consular missions. The successful candidate’s terms and conditions of employment will be governed by the laws of Switzerland.
Please be advised that the Australian Consulate-General, Geneva does not assist with relocation. Any costs associated with taking up the position would be the responsibility of the successful candidate. This role is office based.

About The Department of Foreign Affairs and Trade
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas.
The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.
About the Perimetre
The Australian Permanent Missions to the United Nations and the World Trade Organization in Geneva pursue Australia’s interests in the United Nations and World Trade Organization through international diplomacy. The Australian Consulate-General in Geneva provides services to Australian citizens in Switzerland and Liechtenstein.
About the Position
Under general supervision of the Finance and Travel Services Manager, the Finance and Travel Services Officer is responsible for providing financial processing services and arranging official travel.
Key responsibilities of the position include but are not limited to:

As directed by the Finance and Travel Services Manager, investigate and respond to enquiries on financial and travel related matters.

Liaise with the Regional Finance Hub team at the Australian High Commission London, regarding regional financial processing services, ensuring compliance with DFAT’s financial management systems.

Prepare, check and process invoices according to DFAT’s financial management systems.

Process routine and complex financial transactions in accordance with departmental guidelines and legislative requirements including processing weekly vendor payments, preparing monthly credit card acquittals and processing payments for relevant bills such as utilities, telephone and postage records.

Manage SAP functions including preparing monthly Finance Manager SAP reports and preparing documents for the creation of new Vendors and Customers in SAP.

Manage cashier functions, recording of revenue in SAP and managing petty cash.

Monthly debt collection procedure, bank charges entry in SAP and preparation of Service Level Agreement calculations for Australian Government agencies.

Arrange official travel for staff (quotes and booking of flights and hotels, calculation of travel allowance entitlements) in accordance with the DFAT travel and entitlements policies.

Prepare the annual VAT claims for Responsabilite's invoices and A-based staff.

Under the guidance of the Consular and Passport Manager, provide relief consular and passport services, including:

Delivering a professional Australian passport service, undertaking client interviews, checks of completed forms, and all systems processing involved in the issue of Australian passports.

Overseeing the bookings in the Passports and Notarial online booking system.

Responding to email and telephone enquiries from members of the public regarding consular and passport services.

Provide backup support during Finance and Consular team members’ leave and absences.
Required Qualifications/Experience/Knowledge/Skills

Solid accounting background, with a proven experience in a similar position.

Strong command of IT tools, with a proficiency in Excel, and expertise using a financial management information system. Experience in SAP would be an advantage.

Good learner and ability to manage a certain degree of complexity (VAT, multi-currency).

Ability to work with limited direction, to set priorities, exercise initiative and meet deadlines.

Sound judgement, discretion and confidentiality.

Excellent interpersonal skills. Ability to work in a busy team environment in an international context.

Highly organised, flexible and adaptable.

A qualification in a finance/accounting related field or accounting qualification.

Availability to travel to locations in Switzerland and Liechtenstein and attend to after-hours consular calls at short notice when assisting the Consular and Passports Team.

Fluency in written and spoken English, with French as an advantage.

A. Ability to complete financial accounts processing, with attention to detail and accuracy, supported by relevant professional experience.
B. Proficiency with SAP (or other financial accounting systems) and intermediate or advanced level on MS Excel.
C. Experience in budget management, including analysis and monthly reporting.
D. Ability to work effectively with other team members in a busy processing environment, manage competing priorities and meet tight deadlines, while maintaining strong attention to detail.
E. Excellent oral and written communication skills, including the ability to effectively liaise with, and advise, a diverse range of clients across all levels of the organisation.
