On behalf of one of our clients, a Geneva-based non-profit organisation, we are looking for an:
Administrative Coordinator

You will operate in a demanding and highly confidential environment requiring strong organisational skills, reliability and a proactive mindset.
Responsibilities:
•
Coordinate and oversee daily administrative and operational activities.
•
Manage calendars, meetings, travel arrangements and logistics.
•
Handle correspondence and document management in both French and English.
•
Support administrative and financial follow-up in coordination with external partners and accounting providers.
•
Prepare expense reports, monitor invoices and contribute to budget and expense tracking.
•
Coordinate interactions with suppliers, service providers and external stakeholders.
•
Assist in the organisation of events, conferences, meetings and training sessions.
•
Contribute to the coordination of projects and activities related to the organisation’s mission and initiatives.
•
Support institutional communication activities and update communication materials and content.
•
Ensure smooth office operations, including supplies management and administrative coordination.
•
Prepare documents, presentations, reports and materials for management.
•
Maintain a high level of confidentiality and professionalism when handling sensitive information.
•
Actively contribute to the smooth functioning of an organisation committed to impactful and purpose-driven initiatives.
Profile:
•
University degree or equivalent qualification.
•
Proven background in an administrative coordination, executive assistant or office management role within a demanding environment.
•
Previous expertise within a non-profit organisation, association or responsabilite-driven environment would be considered a strong asset.
•
Perfect command of both French and English, written and spoken.
•
Excellent organisational and multitasking abilities with strong attention to detail.
•
Excellent writing and communication skills.
•
Ability to work autonomously while interacting effectively with a variety of stakeholders.
•
High level of discretion, confidentiality and professionalism.
