For our growing Facility Management organisation at a client Basel we are looking for a:
Facilities Supervisor:
Your main tasks:

The candidate must have an M&E understanding to ensure the smooth running of the site, including PPM & reactive work order management, front-of-house/Reception duties, onsite events, and adhoc day-to-day operations.

Ensure security policies are being followed & set up regular meetings with suppliers tracking key activity to ensure we meet our contractual KPI's

Be proactive in approach and act as the primary support for the Regional Facilities Manager, including budgeting, invoice approvals, raising PO's, submitting invoices and completing financial reports for the RFM

Oversee a budget for the site, ensuring the budget is delivered within the agreed contracted variance target set by the client.

Ensure Health and Safety compliance relating to all contractor activity

Oversight of all vendor activity including cleaning, M&E maintenance and any other vendor attending site.

Monitor seating plans ensuring floor plans and desk numbering are up to date.

Liaise with EMEA Space Planning regarding all office moves and changes

Manage vendors in line with sustainability goals and raise the general awareness of waste recycling. Responsible for ensuring complete activity handover to suppliers and colleagues before any leave of absence

Support and manage the onboarding process for all new joiners, including welcome/building induction, emergency procedures, building access passes, account access to the room and desk booking system, locker allocation and welfare facilities

Ensure Health and Safety compliance relating to all contractor activity

Ensure sufficient stock levels and supplies are available to run the site effectively

At times, work after hours to support events, and maintenance works required in the office

Support/Monitor 3rd party maintenance supplier activities when required and report any corrective works arising

Act as a part of site Emergency team i.e. Fire Marshall, as required for emergency control activities

Report all accidents, occupational illnesses and emergencies in relevant books/documentation

Ensure all contractors, under sphere of control, operate within appropriate SHE processes and client HSE standards

Conduct monthly self-assessment SLA checks in support of quarterly contract performance requirements

Responsible for the image and visual standards of the site/s taking ownership of any issues or concerns

Carry out Mail Room activities including receipt, sorting and distributing incoming and outgoing post to and from mail collection points, keeping post tray names up to date, ensuring areas are tidy and that uncollected post is distributed

Monitor and maintain stationery levels

Co-ordinate site waste and recycling arrangements

Take ownership and understand customer requirements and be able to demonstrate the ability to close out concerns and ensure customer is kept appraised at all times

Act as deputy in the absence of line management

Provide and arrange cover for the FM team as defined by line management

In addition to the above mentioned tasks, other activities and responsibilities may be individually defined
Your profile:

Must have a minimum of 2 years in a similar role within a Facilities site environment.

Practical parcours professionnel in working with supply partners to deliver a seamless, integrated service

Customer services experience and the ability to communicate at all levels

Strong PC skills, MS Office

Self-motivated and resourceful

Good administrative skills

Well organised and good prioritisation and planning skills

Key focus for this role is to ensure that all FM services are delivered in a confident and efficient manner

Service orientated attitude combined with innovative thinking

Fluent in English & German
