Our Quantum Detection Systems push the limits of single-photon detection, powering breakthroughs in quantum communication, sensing, computing, and ultra-sensitive imaging in partnership with top researchers and tech innovators worldwide.Location: GenevaType: Full-timeDepartment: PeoplePosition OverviewWe are seeking a detail-oriented and proactive People Operations Coordinator to join our People team. The People Operations Coordinator will play a key role in supporting daily People operations, maintaining employee records, handling HR documentation, and ensuring the smooth functioning of internal People processes. This role is ideal for someone who thrives in a fast-paced environment, values confidentiality, and is excellent working with People Software (HRMS) and People Data Base.Key Responsibilities· Act as a liaison with US and Global People Operations teams to ensure alignment on HR processes, data standards, and compliance requirements.· Coordinate the maintenance and continuous update of physical and digital employee records (contracts, leave, attendance, work authorization documentation, compliance documents, etc.).· Ensure accurate data entry and management in the HRMS; conduct routine checks and reports to proactively detect, correct, and prevent data inconsistencies or missing information.· Coordinate the onboarding and offboarding processes, ensuring all stakeholders (IT, managers, finance) to ensure timely system access, equipment requests, and documentation completion.· Prepare, consolidate, and deliver standardized HR reports and dashboards on key metrics (headcount, turnover, absenteeism, etc.).· Serve as a point of contact for employee inquiries related to HR policies, benefits, procedures, system navigation, and internal guidelines.· Manage HR administrative tasks, including follow-up with social insurance providers, work permit documentation/global mobility coordination, and regulatory compliance.· Monitor leave balances, track absences, and support payroll preparation by ensuring timely and accurate transmission of all relevant data.· Ensure secure handling of all employee information with data privacy controls aligned to internal policies and legal standards.· Maintain and regularly update labor law compliance files, internal policies, and HR governance documentation; support audit and compliance reviews, as needed.· Maintain and update organizational charts and detailed accurate job descriptions across the organization.· Assist with systems governance, including user access management, permissions review, and HR system improvements.· Identify opportunities to improve HR workflows, increase data accuracy, and enhance the employee experience across People processes.· Support recruitment activities, including job postings, candidate communication, interview scheduling and follow-up.Requirements· Minimum 2-3 years of experience in HR administration· Expertise in HR Management Systems (HRMS, ATS, LMS, etc.)· Fluent in French and English, German is a plus· At ease with IT software (SharePoint, Office 365, MS Forms, Google Workspace, …)· Strong interest for data analysis & reporting tasks· Must have solid organizational skills, accuracy, and attention to detail· At ease in handling sensitive data with a strict commitment to confidentiality.Preferred Qualifications· Experience in fast paced environments, technology driven organization.· HR Swiss certificateWhat We Offer· A role at one of the fastest growing and most exciting Quantum companies in the world.· A competitive compensation scheme, benefits package and equity plan.
